Green Your Meeting
By Jana M. Kemp

Green is the word everywhere it seems. So, can meetings really be more environmentally friendly? Yes. Here are some ways to green your meetings and meeting space.

  • Place recycle containers in meeting rooms to encourage recycling. Some companies have recycle programs. Others have employees volunteer to collect the items and make the recycle center drop-offs.
  • Encourage lessened or no paper handouts for meetings. Consider using a digital display on a public-view screen. Post the agenda on a whiteboard or on a single flipchart page.
  • Go electronic – make all invitations and agenda distributions for meetings electronic. The RSVP systems available online are quite user friendly now as are internal meeting scheduling systems tied to emails and electronic calendars.
  • For plates and flatware, consider using a renewal resource that is also recyclable.
  • When remodeling meeting space, work with commercial interior designers who are LEED accredited and whom know how to create environmentally friendly spaces. For instance: www.cornerstoneinteriordesign.com and ask for Suzie Hall.
  • When meeting rooms are not being used: turn off the lights, turn off the equipment and save energy.
Meeting room windows – use them to provide light and you may not even need to turn lights on for the meeting. Also, when the room is not in use, consider whether energy will be saved by shutting blinds or curtains.

Use “unique themed meeting breaks to rejuvenate guests…for example, in a literal interpretation of going green, room lighting is changed to green and snacks range from green M&Ms™ to green apples and wasabi peas” says Erika Johnson of the JW Marriott Grand Rapids in Michigan Meetings+Events magazine, Summer 2008.

“Integrity in business and in meeting practices does count. Without honesty, open communication, follow-through and consistency, our businesses and our meetings fall apart. Work stops. Morale breaks down. And employees leave.” – Jana Kemp, Volume 6, Issue 4, 1999 of Better Meetings for Everyone (back when the newsletter was published hardcopy J)
