Meeting Rooms Alive!

As you look into meeting room redesigns and construction, make sure the room itself is functional and alive!

Consider:

  • Lighting controls: make sure the presentation area of the room has its own light-control, separate from the rest of the room and other sections of the room. The key is to have multiple light controls so the screen-area can be dimmed while keeping the lights up in the rest of the room.
  • Equipment: presentation displays of all formats – paper, flipchart, white or smart-board, audio, visual, and computer displays. Be sure to install video/computer screen monitors that can handle DVDs and computer feeds as well as any “overhead display” type systems. No more single-purpose equipment allowed!
  • Conferencing equipment: computer, telephone, video and security for such systems.
  • Online Access: will you install cable or wireless technology for the room?
  • Furniture: match the use of the room and the length of time people will be in the room. Chairs are actually rated for the number of hours they can be sat upon comfortably.
  • Recycling: have a trash and recycling center in the room.

This site shows some of the possibilities:

Your best bet is a local supplier with whom you have a working relationship or going to manufacturer sites to find local suppliers.
Be sure to NEGOTIATE for best equipment prices AND installation fees.
