Work Productivity Via The "Mails"

The United States Postal Service was our only "mail" option
until 15 years ago. For the last decade and a half, in the name
of productivity, we've been hit with more mail than at any time
in history: e-mail, voicemail, and hard copy mail in the see-it,
touch-it world of paper.
Here's why it doesn't feel like we're being more productive. First,
the volume of e-mail, voicemail, and mail that we get goes up every
week. Most of the e-mail and mail is junk, whining, joke-telling,
or cover-yourself-writing. So we spend time weeding out the garbage
in order to find the work-to-do items in the stack or on the screen.
The third reason we feel overwhelmed by the "mails" is
that even the important items are so ineffectively written or messaged
that we're not certain what needs to be done. A final reason is
that e-mail and voicemail have taken on airs of false urgency.
Here's what I mean. E-mail and voicemail comes to our inboxes and
gets treated as a handle-me-now emergency. The fact is that most
mail, even the mail marked urgent or priority, really isn't an
emergency.
Here are some solutions for using "mail" more productively.
1. Consider what action you want someone to take
as a result of hearing or reading your mail.
2. State clearly in your message what you are asking
for and when you need a response.
3. E-mail tips: Use the subject line to communicate
what you want. Include in the body of the message what you want
or need and when you expect a response. Include how you want the
response - e-mail, voicemail, in hard copy form, in a report or
presentation format. Keep the message focused on one topic. And
make sure that the person you are communicating with actually responds
to e-mail.
4. Voicemail tips: In addition to the tips that apply
to e-mails, be sure to include your telephone number. Even if you
think the person has your number, make it easy for the receiver
of your message to call you back. Use your voicemail greeting to
tell your callers who you are, when you'll return calls, and what
information you want left in the message. Voicemail is meant as
a productivity tool. It is not simply a more expensive pink-message-slip
that begins a game of tag "what do you want" calls.
ACTION ITEMS: Discover how well e-mail and voicemail are being
used in your organization. Consider standardizing voicemail greetings
and how often they should be changed. Model and encourage timely
and effective "mail" production and use.

January 2002 – Missoula, MT
Montana Landscape and Nursery Association Delighted
with Kemp
Snow kept Jana Kemp from arriving for the 2001 Montana Landscape
and Nursery Association’s annual conference. The 2002 Conference
attendees report that it was worth the wait. Kemp’s presentations
were on Time and Priority Management and Working with Difficult
People. With over half of the conference attendees in the room
(120 in the session), standing room only and Kemp’s high-energy
presentation kept attention during the presentation. Kemp’s
facilitation skills sparkled when during the Difficult People presentation
the lights in the hotel facility went out. She kept cool and directed
attendees through the steps of exiting the building without losing
a beat. Fortunately, the power-outage was only a temporary distraction
and the session finished on time.

After a successful presentation on Powerful Meeting Content to
the Hospitality Sales Managers Association International (HSMAI)
annual international Conference in Washington D.C., September 2001,

Kemp Presents to Russian Grocers
Caldwell Idaho Optimist Club members hosted a delegation of fifteen
Russian Grocers in order to share American business and grocery
practices. Meeting & Management Essentials founder Jana M.
Kemp was one of the half-day presenters to the group. Working with
the delegation’s facilitator and interpreter, Kemp delivered
a session focused on time management, meeting management and communication
skills. Acclaimed for her presentation, Kemp has been invited to
Russia to further present business training.

Radio talk show “Momentum” on KBOI (670am) in Boise,
Idaho, and hosted by Jana Kemp, achieved third-place in the fall
1998 Arbitron ratings for radio shows. Rated first in talk radio
for the morning timeslot, the third place overall ranking (for
35 to 64 year olds) is impressive given that “Momentum” debuted
last fall.
